Your data is yours. If you want it gone, email us with the words “Data Deletion Request” in the subject line and we will delete it within 30 days, keeping only the few records the law obliges us to keep. There is no charge and no argument.
The fastest route
Email info@civilashram.co.in with the subject line “Data Deletion Request”, from the email address on your account. Tell us plainly that you want your personal data deleted. That is genuinely all that is required.
1Who we are
Civil Ashram is a sole proprietorship registered in Kota, Rajasthan, India, with GSTIN 08CRXPP9491C1ZV, at 1063, Mahaveer Nagar Second, Kota, Rajasthan – 324005, India. Our proprietor and Grievance Officer is Deepika Patni. In this policy, “we”, “us” and “our” mean Civil Ashram, and “you” means the person or business using our Services.
What this policy covers
In this policy, “our Services” means all of the following, whether they exist today or we add them afterwards:
- civilashram.co.in and every subdomain of it — including tech.civilashram.co.in (technology and consultancy), ias.civilashram.co.in (civil services guidance) and arthmessenger.civilashram.co.in (Arth Messenger) — and any other subdomain we add in future;
- any other domain or website we operate that links to this policy, including any domain we move to or trade under later;
- Arth Messenger in every form — the marketing pages, the sign-in and account pages, the dashboard, the WhatsApp automation itself, its add-on modules and its programming interfaces;
- our tools, including the QR Generator and Find My Photos, and any tool we publish later, whether free or paid;
- any mobile, desktop or browser application we publish, on an app store or directly;
- our courses, guidance programmes, mentorship, study material and community spaces, whether delivered online, by WhatsApp, or in person;
- our application programming interfaces, integrations, plug-ins and embedded widgets, and any dashboard we give you to manage them;
- the ways we communicate with you about all of the above — email, WhatsApp, telephone, video call, our forms and chat widgets, and the social media accounts we run; and
- anything that replaces or succeeds any of the above, including under a different name, brand or web address.
If we launch something this list does not obviously cover, this policy still applies to it — unless we publish a separate policy for it and tell you so before you use it.
“Business day” means Monday to Friday, excluding public holidays in Rajasthan, India. Saturday is counted only when we measure our support response targets, never when we measure a refund, a despatch or a delivery.
This page is part of our Privacy Policy and should be read with it. It explains, in practical steps, how to exercise the right to erasure that policy gives you.
2What data this covers
This applies to the personal information we hold about you in connection with any of our Services as defined in section 1 — any of our websites or subdomains, Arth Messenger, our tools, any application we publish, and our courses. That may include:
- your name, email address, phone number and postal address;
- your account details, including your username and login history;
- your Facebook or other social profile information, if you used a social login;
- messages and enquiries you sent us, and our replies;
- anything you submitted through our forms or applications;
- for Arth Messenger customers: the contacts, message history, templates and reports held in your dashboard;
- for students: your enrolment details, progress records and any study preferences you gave us;
- technical records of your visits, such as IP address and device information.
3How to make a request
- Send an email to info@civilashram.co.in.
- Use the subject line “Data Deletion Request”.
- Send it from the email address registered with us, or tell us the email address, phone number or account details you used, so that we can find your data.
- Say clearly that you want your personal data deleted, and whether you want all of it deleted or only part (see section 8).
You may also telephone +91 88240 49989 during office hours to make the request. We will ask you to confirm it by email afterwards, so that we both have a written record — and so that we can be sure the request really came from you.
Office hours: Monday to Friday, 9:00 AM – 6:00 PM (IST) and Saturday, 10:00 AM – 2:00 PM (IST). If something is urgent, ring any day at any hour — it will be answered.
There is no charge for this, and we will never ask you why.
4What happens next
| Stage | When |
|---|---|
| We acknowledge your request in writing and give you a reference number | Within 24 hours |
| We verify your identity, so that we never delete somebody’s data on a stranger’s say-so | Within 3 business days |
| We tell you exactly what will be deleted and what we must keep, and why | Within 7 business days |
| We delete your personal data from our active systems | Within 30 days of the request |
| Your data is removed from our routine backups as they cycle | Within 90 days |
| We email you to confirm the deletion is complete | Immediately after deletion |
If verifying your identity takes longer, or the request is unusually complex, we will tell you why and give you a firm date. We will not simply let it run past 30 days without explanation.
5What we delete
Unless you ask us to keep something, a full deletion request removes:
- your account and login credentials;
- your name, contact details and address;
- your enquiries, support conversations and form submissions;
- your Arth Messenger contacts, message history, templates and reports;
- your course enrolment records and progress data, beyond the retention period in section 6;
- your marketing preferences and any profile built from your use of our sites;
- any social login connection between your account and ours.
Where full deletion is not possible for a technical reason, we anonymise the record instead, so that it can no longer be connected to you by any means available to us.
6What we must keep, and why
The right to erasure is not absolute anywhere in the world. These are the only things we keep after a deletion request, and each one has a reason and an end date:
| What we keep | Why | For how long |
|---|---|---|
| Tax invoices and payment records | Indian tax law requires it. This cannot be shortened by a deletion request. | Up to 8 years from the end of the relevant financial year |
| A minimal record that a deletion request was made and completed | So we can prove to a regulator that we honoured it, and so the same data is not re-imported later | 3 years |
| Records relevant to a live dispute, claim or legal proceeding | So that the dispute can be decided on the facts | Until it is finally resolved, then deleted |
| Anonymised and aggregated statistics | They no longer identify you, so they are not personal data | Indefinitely |
We keep the minimum necessary in each case, we do not use these records for any other purpose, and we delete them as soon as the reason ends. We will tell you exactly which of these apply to you before we complete your deletion.
7Export your data before you delete it
Deletion is permanent. Before you ask for it, consider exporting what you may want later:
- Arth Messenger customers can export contacts, message history and reports from the dashboard at any time, and for 30 days after a subscription ends.
- Students can ask us for a copy of enrolment and progress records.
- Anyone can ask for a full copy of the personal data we hold, in a structured, machine-readable file, at no charge.
Ask for the export in the same email as your deletion request and we will send it first, then delete.
8Deleting only part of your data
You do not have to choose between everything and nothing. You can ask us, for example, to:
- remove you from marketing but keep your account;
- delete your Arth Messenger contact list but keep your subscription;
- delete a specific message, enquiry or document;
- remove a social login connection but keep your email login;
- delete the optional information you gave us, such as any category detail, while keeping the rest.
Just say which parts in your email. We will confirm what we have understood before we act, so nothing is deleted by mistake.
9Withdrawing consent
Deleting data and withdrawing consent are different things, and you may want one without the other.
- Withdrawing consent stops us using your data for a purpose you previously agreed to — marketing, optional cookies, or any optional detail you gave us. Your account continues as normal.
- Deletion removes the data itself.
Withdrawing consent is as easy as giving it: use the unsubscribe link in any marketing email, or write to info@civilashram.co.in. It takes effect immediately and it never affects anything we did lawfully before you withdrew it.
10Data connected through Facebook
If you connected to our services using Facebook Login, there are two separate things to do, and doing one does not do the other.
- Remove our app’s access on Facebook. Open your Facebook settings, find the section listing the apps and websites connected to your account — on most versions this sits under Settings and privacy, then Settings, then Apps and websites — find Civil Ashram in the list, and remove it. Facebook moves this menu from time to time; if you cannot find it, search Facebook’s own help for “apps and websites”.
- Ask us to delete the data we already received. Removing the app stops Facebook sending us anything new; it does not delete what we already hold. Send us the request in section 3 as well.
11If we refuse, or you are not satisfied
We will only ever refuse a deletion request for one of the reasons in section 6, or where we genuinely cannot confirm who you are. If we do refuse, in whole or in part, we will tell you in writing exactly which reason applies and what you can do about it.
You can then escalate it to our Grievance Officer using the details below. If you are still not satisfied, our Privacy Policy lists the regulators you can approach — the Data Protection Board of India, your European or UK supervisory authority, or the California Privacy Protection Agency. We will not treat a complaint to a regulator as a reason to treat you any differently.
12Changes to this page
We may update these instructions. The “Last updated” date at the top of the page always shows when. Where a change materially affects your rights we give at least 30 days’ notice, in line with our Privacy Policy.
Grievance redressal and contact
If a deletion request has not been handled as this page describes, or you disagree with a decision we have made, escalate it here.
Grievance Officer: Deepika Patni, Proprietor. Every complaint receives a written acknowledgement and a reference number within 24 hours, and we resolve it within 15 days. If a complaint will take longer than that, we tell you why, and when to expect an answer.
